Privacy Statement

  • Woodland Tax processes personal data as part of its service provision. The term “personal data” includes all information about an identified or identifiable natural person.

What information does Woodland Tax process?

  • Woodland Tax processes the following personal data and categories of them:
    Clients:

    • name/address details (name, given names, initials, titles, gender, address, postcode, place of residence) as provided by the client;
    • other contact details (telephone number, email address and other such details necessary for communication) as provided by the client;
    • other data obtained from public sources (such as the Trade Register, the Chamber of Commerce and the Land Registry) or provided to us by third parties in the context of handling a case or resolving a dispute;
    • data necessary for entering into and performing an engagement agreement (such as contact details of third parties involved in a case);
    • data provided by contacts of clients in the context of performing an engagement agreement;
    • data for providing information about current events (including in relation to legal matters) and developments and for providing other legal services;
    • data for conducting online and offline acquisition and marketing activities; data for the purpose of accounts, other administrative services and debt collection;
    • other personal data that are required or need to be processed to comply with the applicable laws and regulations, the Legal Profession Bylaw (Verordening op de advocatuur) and the code of conduct applicable to lawyers, such as, under certain circumstances, processing data relating to an identity document and keeping a list of former clients.

Purpose

  • Woodland Tax processes personal data only to the extent necessary for the purposes set out below:
    • performing our legal services;
      communicating with data subjects and/or third parties;
    • internal management activities;
    • accounting, administrative services and audits;
    • securing and managing IT systems;
    • marketing & communication and CRM management;
    • handling job applications;
    • handling requests, complaints and disputes;
    • complying with or applying laws and regulations, including the Regulation on the Legal Profession and the code of conduct for lawyers.

Statutory bases

  • Woodland Tax processes your personal data on one or more of the following statutory bases:
    • when necessary for performing a contract to which you are a party or for taking pre-contractual steps at your request;
    • when necessary to comply with a legal obligation;
    • when necessary for promoting our legitimate interests or the interests of a third party; or
    • with your consent.

With whom does Woodland Tax share your personal data?

  • Woodland Tax does not provide your personal data to third parties (‘recipients’ within the meaning of privacy legislation) unless this is necessary for the proper performance of the purposes described in this privacy statement, when required by law or if you have given your consent. Examples of such third parties include lawyers substituting for other lawyers due to absence or illness or third parties engaged on behalf of and on the instructions of Woodland Tax, such as an IT provider. This also extends to the situations involving legal or other proceedings or correspondence with opposing parties. Woodland Tax may also be required by law to provide personal data to a supervisory authority or another public authority.
  • Third parties to whom your personal data are provided are required to handle them confidentially. If these parties qualify as “processors” under privacy law, Woodland Tax ensures that a processor agreement is in place that meets GDPR requirements. Third parties engaged by Woodland Tax who provide services as independent controllers are themselves responsible for complying with applicable privacy laws when processing (or further processing) your personal data.

Security of personal data

  • Woodland Tax is committed to ensuring that your personal data are protected and secure and, taking into account the state of the art, takes appropriate technical and organisational measures to ensure a level of security appropriate to the risk. In the event that Woodland Tax uses the services of third parties such as an IT provider, it will include appropriate arrangements for the protection of personal data in a processing agreement.

Retention period

  • Woodland Tax does not retain personal data processed by it longer than necessary for the purposes mentioned above or as required by laws or regulations.

Your privacy rights

  • Unless restricted by law, you have the right to:
    • receive information about the personal data we process about you;
    • correct inaccurate or incomplete data;
    • request deletion of your personal data;
    • restrict the processing of your data; data portability;
    • lodge a complaint with us or the supervisory authorities;

This is a web analytics service that tracks statistics about website traffic (e.g. visitor numbers, popular pages and topics). Amendments

  • This privacy and cookie statement was drafted on 1 January 2026; Woodland Tax has the right to amend the contents of this statement at any time without prior notice. Updates to this statement will be published on Woodland Tax’s website. In the event of substantial amendments that may considerably affect one or more data subjects, Woodland Tax will endeavour to inform such data subjects of the amendments directly.
